AgentSafe goes beyond simple ID verification. Under the reforms to the AML/CTF Act (via Schedule 1 of the Amendment Act, effective from 31 March 2026), businesses must have and comply with an AML/CTF program that is risk‑based and proportionate — tailored to the nature, size, complexity and risk‑profile of their operations.

  1. Risk assessments – AgentSafe supports the operational side by recording and monitoring property and client information, performing due diligence, and flagging suspicious activity.

  2. Policies and procedures – AgentSafe for Real Estate and its consultants can assist with templates, guidance, and support to help develop policies and procedures. However, it is ultimately the reporting entity’s responsibility to implement and maintain policies around staffing, governance, and oversight, ensuring staff use the system correctly and comply with obligations.

AgentSafe supports property managers, buyers’ agents, sales agents, strata managers, and property developers, both locally and interstate, helping them stay compliant, organised, and efficient.

How does AgentSafe support Anti-Money Laundering and Counter-Terrorism Financing (AML/CTF) compliance?

AgentSafe helps sales agents, buyers agents, property managers, strata managers, and developers prepare for Tranche 2 AML/CTF reforms.

Building on its existing compliance capabilities—such as property risk registers, robust document storage, material fact disclosure, tradesperson verification, and WHS management—AgentSafe extends these functions to meet the wider due diligence obligations required under AML/CTF. This includes both Knowing Your Customer (KYC) and Knowing Your Property (KYP), ensuring compliance covers not only clients but also the properties they buy, sell, manage, or develop.

AgentSafe also incorporates transaction monitoring, allowing businesses to track financial activity related to property sales, acquisitions, leasing, and development. By capturing both client and transaction information, the platform helps identify unusual or high-risk activity, supports proactive risk management, and ensures businesses can meet AUSTRAC reporting obligations.

Because financial crime risks can arise through property ownership, development, management, or transactions, AgentSafe provides a holistic compliance view, enabling businesses to demonstrate robust risk management across all service lines while reducing exposure to compliance breaches.

AgentSafe’s AML/CTF CRM features are scheduled for implementation in December 2025, and we are working with TrueVault to integrate the latest biometric verification technology to enhance identity checks and due diligence processes ahead of Tranche 2 reporting.

 

What happens if our agency isn’t compliant with the new Tranche 2 AML/CTF requirements?

From 1 July 2026, all real estate businesses must comply with the Anti-Money Laundering and Counter-Terrorism Financing (AML/CTF) reforms. Agencies that are not compliant risk being excluded from property transactions — as lawyers, conveyancers, and financial advisers will be unable to engage with non-reporting entities when facilitating a property sale, purchase, or lease.

In practice, this means a non-compliant agency may be unable to lawfully participate in settlements or manage client funds, effectively preventing them from operating in regulated property dealings.

Q: How does AgentSafe help my agency manage AML/CTF compliance for trust account transactions?

AgentSafe ensures that all trust account transactions — including sales, property management, strata, and purchaser-related deposits — are monitored for AML/CTF risks, even if they aren’t directly reportable to AUSTRAC.

With AgentSafe:

  • Users record AML/CTF details in Transaction Status and Transaction Risk Notes, including source of funds verification and any unusual activity.

  • Users can access TrueVault to retrieve ID verification information (KYC) and record property-related details (KYP).

  • At the Compliance Officer’s discretion, conveyancers or solicitors can be given a login to verify KYC/KYP information.

  • All AML/CTF trust account information is captured in reports submitted to AUSTRAC, creating a full audit-ready record.

Important: All operational trust account transactions — including deposits, receipting, bank reconciliations, and payments to the agency — are recorded in your CRM (Property Tree, Property Me, AgentBox) to meet state-based property legislation requirements for maintaining a trust account.

This ensures your agency is both AML/CTF compliant for AUSTRAC and legally compliant with state trust account obligations.

What’s the risk of relying only on KYC tools in a Compliance Management System (CMS)?

KYC (Know Your Customer) checks are just one component of AML/CTF compliance. Agencies must also undertake KYP (Know Your Property) checks, monitor transaction activity, manage risk assessments, and report to AUSTRAC. While a basic CMS with KYC tools can assist with ID verification and recording transactions, it does not address the full spectrum of compliance risks, including money laundering, terrorism financing, and WHS obligations. Relying solely on a KYC CMS can leave gaps in your compliance program, increase the risk of audit failures, and expose your agency to regulatory penalties.

Why can’t AML/WHS compliance software be merged with a sales and marketing CRM?

Compliance software manages customer checks, property checks, transaction history, and AUSTRAC reporting. Your compliance officer needs to monitor this information independently to keep your agency audit-ready. If it’s mixed with sales and marketing tools, errors and conflicts can occur — which could put your business and licence at risk. CRMs are built for growing sales, not managing compliance. Keeping them separate protects your agency and reduces liability.

What sort of reports can AgentSafe produce?

AgentSafe produces Property Compliance Reports for each property, which can be shared with property owners. These reports summarise inspections and the results of safety checklists, providing a clear overview of a property's compliance status.

In addition, AgentSafe supports your Annual Compliance Report for AUSTRAC, which summarises how your business has met its AML/CTF obligations over the previous year.

A comprehensive suite of safety checklists is included to help users carry out inspections and record compliance outcomes. A dedicated mobile inspection app is currently in development, allowing users to complete these checklists directly on a phone or tablet. In the meantime, you can use PDF apps on your device, such as PDF Expert, PDF Max 5 Pro, Smart Forms, Adobe Fill & Sign, or GoodNotes 4.

Users can also create work orders and set up automated notifications that trigger the Non-Compliant Register Report whenever an issue or breach is detected. This centralised register captures all outstanding non-compliance items — such as property safety defects, overdue maintenance tasks, or tradespersons lacking valid insurance — until they are rectified.

Maintaining this risk and non-compliance register is essential for demonstrating due diligence, maintaining insurance coverage, and reducing exposure to potential litigation.

 

How does AgentSafe make it easier to share AML/CTF due diligence?

AgentSafe allows your compliance officer to grant secure access to solicitors, conveyancers, or other reporting entities through a unique username and password. This removes the need to email sensitive client reports or ID documents, keeping all information protected within the AgentSafe platform. Each access is recorded in a full audit trail, ensuring transparency, security, and compliance under AUSTRAC’s reliance principle.

Can a network group use a single username and password to access the network across multiple offices?

While the franchisor may maintain a single account per office to manage systems centrally, individual staff members must still have their own unique login credentials. This ensures:

  • Proper audit and monitoring of activity by each user.

  • Compliance with AML/CTF requirements for accountability and record-keeping.

  • Reduced risk of unauthorised access or data breaches.

The central account is for administrative purposes only — day-to-day access by staff must be individual and role-based.

How secure is the data?

Given the sensitive nature of the data, AgentSafe employs the following levels of security:

Physical

The application's web and database server is hosted on industry recognised Microsoft Azure's cloud technology.

Database

Includes sql authentication and encryption. All read/write operations are performed via a middle application tier. Daily backups are stored in Microsoft Azure.

Software Architecture

Role based authentication provides finely controlled access to areas within AgentSafe. Anti-forgery tokens are implemented to prevent malicious attempts to access data such as cross-site-scripting.

Full audit trail of database changes.

How many users can login to AgentSafe?

As many as you like.

What other documents can be used in AgentSafe to assist agents with safety and security compliance?

There is a range of educational factsheets and website pages to assist with carrying out all tasks - in accordance with the requirements of WHS legislation and property safety requirements.

AgentSafe also provides integration with ADLForms, which enables agents to directly work in the ADLForms user interface.

Can a completed condition report, images and other documents be uploaded to AgentSafe?

Yes, AgentSafe has a capability to upload and store all these items.

Does AgentSafe allow for work method statements, insurance policies, qualifications and agreements of tradespeople to be stored in one location?

Yes, AgentSafe includes a Tradesperson Register and provides a centralised facility for uploading and securely storing work method statements, insurance policies, qualifications, and agreements of tradespeople—all in one convenient location.

Can AgentSafe quickly highlight non-compliant properties in a portfolio?

Yes, non-compliant properties are highlighted in the dashboard area and the property view screen. AgentSafe also has report automation functionality for non-compliant properties and tradespeople.

How does AgentSafe as a compliance system ensure I have the most up to date information?

The AgentSafe design platform is monitored and where necessary, modified to ensure users have the latest version control software and legal information applicable to their state. A notification email is sent by our support team to keep users informed about content changes to the system. All resources in the AgentSafe software are approved by a Registered Training Organisation (RTO) Trainer and Assessor.

Can AgentSafe alert me of any impending legislative changes?

Yes, regular notification emails are sent to keep users updated on any new changes to legislation, including media releases regarding safety and security matters.

Can AgentSafe be used for general repairs and maintenance work?

Yes, AgenSafe can be used for managing maintenance and repairs on behalf of property owners. A work order or job can be created, added to the calendar and updated anytime.  Alerts can be set up for notifications for tradespeople, agents, tenants, owners and sent via the built in email system.

What happens when the property quota value is reached in AgentSafe?

When the property quota value is reached, a message is displayed to contact AgentSafe for Real Estate to increase the licence limit.  To avoid any access denied in adding a new property, one can monitor the threshold displayed in the dashboard area.

What product support services are included in the purchase?

IT maintenance, phone support and email alert service. However, additional fees will apply for onsite training.

Can I import my existing property data into AgentSafe?

Yes, AgentSafe’s bulk upload feature allows users to import the property data from an exported file. This tool is intended to quickly bulk upload properties into AgentSafe, but should be used with care and in consultation with your AgentSafe account manager. However, we often advise subscribers as a starting point, to enter property details into AgentSafe after carrying out the initial inspection using both the WHS and PSR Checklists. This prevents having to bulk upload all properties immediatelty into AgentSafe - causing unnessary delays managing tasks and rectifying problems in relation to non-compliance.

How does AgentSafe integrate with software?

AgentSafe is a cloudbase application that easily integrates with other applications or software with web access. All compliance reports can be saved into the hard disk drive on your computer, or uploaded to a cloud storage folder. It is worth noting that AgentSafe is a complementary product and not a replacement for other software - it's regarded as the missing piece.

What is the cloud?

In the simplest terms, cloud computing means storing and accessing data and programs over the internet instead of your computer's hard drive. The cloud is just a metaphor for the Internet.

What is the subscription pricing structure for AgentSafe?

Customers can choose to pay monthly or buy an annual subscription. The fees are based on number of properties an office manages.
